About this opportunity:

As the Senior Executive Assistant to our C-Suite Executives, you will play a pivotal role in driving executive effectiveness by managing day-to-day operations, owning key strategic logistics, and enabling seamless decision-making at the highest level. This individual will be responsible for coordinating complex schedules, owning and distributing meeting agendas and materials, creating polished presentations, and managing all company-wide events with precision and professionalism.

This is an onsite role (4–5 days/week) at our headquarters in Brisbane, California, reporting directly to the Chief Executive Officer. What you’ll do:

Executive Calendar Management

  • Proactively manage and prioritize complex calendars for multiple C-Suite executives, anticipating conflicts and resolving scheduling issues before they arise.
  • Coordinate and schedule high-priority meetings including Board of Directors (BOD) meetings, investor updates, executive leadership sessions, and cross-functional reviews.
  • Serve as a trusted gatekeeper and liaison to streamline time management and ensure focus on strategic priorities.
  • Schedule internal and external meetings, ensuring all required participants are aligned and confirmed in advance.

Agenda, Pre-Read, and Meeting Content Ownership

  • Own the development, maintenance, and follow-up of agendas for all executive and leadership meetings—ensuring alignment on objectives and next steps.
  • Proactively coordinate and distribute pre-read materials, ensuring that participants have necessary context ahead of time to drive meaningful discussions.
  • Partner with executives and cross-functional leads to prepare polished, well-formatted slide decks and documents, maintaining a consistent and professional look and feel.

Internal Communications & Collaboration

  • Serve as a point of coordination between executives and internal teams—ensuring clear communication and follow-through across functions like HR, Finance, Legal, and Operations.
  • Ensure executives are informed and aligned on company-wide initiatives and internal developments.
    Support timely execution of administrative processes including purchase requisitions, expense reports, and policy adherence.
  • Exercise confidentiality and discretion with a high level of professionalism.

Travel and Expense Management:

  • Plan and manage domestic and international travel itineraries, including flights, hotels, transportation, and event registrations.
  • Prepare and submit expense reports accurately and on schedule, ensuring compliance with company policies.

Event Ownership & Meeting Logistics

  • Own and execute all company-wide events including All-Hands meetings, leadership offsites, employee engagement activities, and major internal milestones.
  • Plan, coordinate, and manage logistics for both internal and external meetings—from venue setup and AV needs to catering, materials, and participant communications.
  • Ensure seamless execution of virtual and in-person engagements, acting as the point of contact for troubleshooting and last-minute adjustments.

Purchase Order & Purchase Requisition Management

  • Create, process, and manage purchase orders and requisitions. Ensure all purchase requests comply with organizational policies and procedures.
  • Monitor and track the status of purchase orders and requisitions to ensure timely and accurate fulfillment.

Administrative & Project Support

  • Manage special projects and ad hoc initiatives to support executive productivity and operational excellence.
  • Maintain up-to-date documentation, contact lists, and internal records to ensure quick access to critical information.
  • Provide daily onsite operational support to the C-Suite, anticipating needs and ensuring they are fully prepared for each engagement.

Must haves:

  • At least 7+ years of experience as an executive assistant, with a proven ability to support multiple senior-level executives in a fast-paced, high-demand environment.
  • Exceptional organizational skills with the ability to independently manage complex calendars, coordinate meetings and events, and prioritize tasks with precision and attention to detail.
  • Confidentiality & discretion, and also being comfortable handling sensitive information with a high level of confidentiality and professionalism.
  • Excellent written and verbal communication skills, with the ability to interact effectively across all levels of the organization.
  • Proactive & problem-solving mindset with a forward-thinking, solution-oriented approach, and the ability to anticipate needs and address challenges before they arise.
  • Ability to thrive in a constantly evolving environment, managing multiple shifting priorities with a calm, can-do attitude.
  • Proficient in a variety of software tools, including Google Workspace (Docs, Slides, Sheets, Calendar), Zoom, and travel booking platforms.
  • A natural collaborator who enjoys contributing to the success of a high-performing team and understands the importance of executive support in achieving company goals.

Benefits and additional information:

The US target range of our hourly rate for new hires is $131,325 to $201,000. You will also be eligible to receive pre-IPO equity, cash bonuses, and a full range of medical, financial, and other benefits depending on the position offered. Please note that individual total compensation for this position will be determined at the Company’s sole discretion and may vary based on several factors, including but not limited to, location, skill level, years and depth of relevant experience, and education.
