The Position
We’re looking for a highly organized, proactive, and resourceful Executive Planning and Travel Specialist to partner directly with our Associate Director, Executive Planning and Operations. This role is designed to lighten the operational load of executive leadership, especially around travel, logistics, and board engagement. You’ll be the go-to for managing high-touch arrangements for our Veracyte Leadership Team (VLT), Board of Directors, and special guests of the CEO and CFO. Responsibilities
- Serve as a strategic partner to the Associate Director, Executive Planning and Operations, anticipating needs and proactively managing logistics and administrative tasks.
- Lead all VLT and Board offsite arrangements including hotel bookings, flights, ground transportation, meeting space, and catering.
- Negotiate rates and build loyalty programs with frequently used hotels and airlines.
- Manage travel and accommodations for special guests of the CEO and CFO, including guest speakers and additional VLT meeting attendees.
- Oversee food ordering and vendor coordination for onsite events.
- Process Board member expense reports with accuracy and discretion.
- Coordinate Board travel logistics, including hotel and ground transportation and explore expanding travel services to all Board members.
- Own VLT travel coordination
- Manage international travel for all Vice Presidents, ensuring seamless execution and cost efficiency.
- Continuously identify opportunities to streamline processes and improve service delivery.
- Perform other duties as assigned by the Associate Director, Executive Planning and Operations, adapting to evolving priorities and organizational needs.
- Travel required: approximately 20%, including support for offsite events and executive meetings.
Who You Are:
Required Qualifications
- Minimum 8 years of professional experience, with at least 5 years in a senior administrative, operations, or executive support role.
- Proven experience managing complex travel and event logistics for senior executives or board-level stakeholders.
- Strong negotiation skills with vendors, especially in hospitality and travel.
- Exceptional organizational skills and attention to detail.
- Ability to work independently, prioritize effectively, and adapt to changing needs.
- Excellent communication and interpersonal skills; able to build trust across all levels.
- Demonstrated discretion and professionalism in handling confidential information.
- Familiarity with Concur or similar expense reporting tools.
- Bachelor’s degree in business, hospitality, or related field—or equivalent experience.
Preferred Qualifications
- Experience in biotech, life sciences, or high-growth corporate environments.
- Familiarity with travel management platforms and expense reporting systems.
- Prior experience supporting an Associate Director, Executive Planning and Operations or C-suite executive.
- Background in vendor management or procurement.
- Passion for creating exceptional experiences and operational excellence.

The final salary offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and length of experience within the job, type and length of experience within the industry, education, etc. Base pay is one part of the Total Package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses/incentives, and restricted stock units. Veracyte is a multi-state employer, and this salary range may not reflect positions that work in other states.
