The Recruiting Coordinator assists with logistics and administrative support of recruiting activities, ensuring a seamless, professional, compliant and positive candidate experience from interview scheduling through pre-employment onboarding. Operating with established processes and discretion, this role manages complex coordination activities, maintains applicant tracking system (ATS) data integrity and other record keeping processes. The position partners with recruiters and other HR team members to support timely hiring and onboarding.
DUTIES AND RESPONSIBILITIES:
- Independently manage interview coordination across multiple calendars, time zones, and stakeholder groups, proactively resolving issues to keep hiring processes on track.
- Serve as a primary point of contact for candidates throughout the interview process, providing clear communication on logistics, timelines, and next steps.
- Maintain accurate, timely, and compliant records in the ATS to support reporting, compliance, and audit readiness.
- Partner with recruiters to support multiple open requisitions end-to-end, including requisition setup, interview preparation, candidate communications, stakeholder feedback and offer coordination.
- Prepare and manage interview agendas, materials, and logistics for virtual and on-site interviews, including candidate travel coordination as applicable.
- Support recruiting metrics, documentation standards, and continuous improvement of coordination workflows, tools, and candidate communications.
Coordinate pre-employment onboarding activities, following offer acceptance including background checks, accurate and timely handoff of new hire information to internal partners and serving as primary candidate contact on onboarding steps and timelines.
EDUCATION AND EXPERIENCE:
High school diploma or equivalent required.
Minimum 2 years of experience in recruiting coordination with high volume scheduling, or a related role.
Experience in biopharma preferred.

• Communication: Professional verbal and written communication skills, with the ability to interact effectively and diplomatically with candidates, hiring managers, executives, and cross-functional partners.
• Systems: Working knowledge of applicant tracking systems (ATS) and recruiting workflows, including maintaining data accuracy and supporting reporting and compliance needs.
• Confidentiality: Proven discretion in handling confidential, sensitive, and regulated information.
• Technology: Proficiency in Microsoft Outlook, Teams, Excel, and related office tools required for scheduling, documentation, and communication.
WORKING CONDITIONS
General Office Environment. This is an indoor position that requires sitting at a desk for extended periods of time and the ability to type and use a computer. The noise level in the work environment is usually quiet to moderate.
No Cleanroom access needed
